Last updated: November 2026

Your privacy matters to me. Whether you're working with me through counselling, coaching or clinical supervision, I take the confidentiality and security of your personal information seriously.

This notice explains what information I collect, why I need it, how I look after it and what rights you have.

I am the data controller for my practice and am registered with the Information Commissioner's Office (ICO).

If you have any questions about your information, you can contact me at clare@attheconfluence.co.uk.

When You First Contact Me

If you enquire about counselling, coaching or clinical supervision, I may collect your name, contact details and any information you choose to share about what you're looking for.

This helps me respond to your enquiry and establish whether my services are appropriate for you.

If we don't go on to work together, I will delete your enquiry and associated personal information within 12 months, unless there is a legal reason to retain it longer.

During Our Work Together

I may keep your contact details, working agreement, appointment information, payment records and brief notes relating to our sessions.

For counselling and coaching, this may include relevant information about your experiences, wellbeing, circumstances and goals.

For clinical supervision, I may also record professional membership details, supervision requirements and hours completed.

Supervision sometimes involves discussion of supervisees' clients. I aim to avoid recording identifying information about those clients wherever possible.

Why I Use Your Information

I use your personal information to provide our agreed services, communicate with you, manage appointments, maintain appropriate professional records and meet my legal and ethical responsibilities.

Depending on the purpose, my lawful bases for processing personal information include fulfilling our contract, complying with legal obligations and pursuing legitimate interests in managing a safe and accountable professional practice.

Information relating to health and other particularly sensitive matters receives additional protection under UK data protection law.

How I Keep Your Information Safe

My counselling, coaching and clinical supervision notes are primarily paper-based and kept securely in locked storage.

I use a separate professional Gmail account for correspondence, and Google Meet or Microsoft Teams for online sessions.

I also use Cognito Forms for electronic working agreements and related administration.

Some digital service providers may process information outside the UK. I take reasonable steps to protect personal information and limit access to it.

Confidentiality

Information shared during our work is treated confidentially.

There are circumstances where I may need to share relevant information, including serious safeguarding concerns, significant risks of harm or where disclosure is required or otherwise justified by law.

Wherever possible and appropriate, I will discuss concerns with you beforehand and share only the information necessary.

I also receive professional supervision of my own practice. Relevant aspects of our work may be discussed confidentially, with identifying information minimised wherever possible.

Information may also be shared with appropriate professional, regulatory, insurance or legal bodies where necessary, or processed by services supporting my practice.

I do not sell your personal information.

After Our Work Ends

I retain counselling, coaching and clinical supervision records for seven years after our professional relationship ends, unless a different period is required for legal, insurance or professional reasons.

Financial records are retained in accordance with applicable tax requirements.

When information is no longer required, paper records are securely destroyed and electronic information is deleted.

Your Rights

Under UK data protection law, you may have the right to:

  • Access the personal information I hold about you.

  • Ask for inaccurate information to be corrected.

  • Request deletion or restriction of information in certain circumstances.

  • Object to certain uses of your information.

  • Request transfer of your information where applicable.

These rights are subject to relevant legal conditions and exemptions.

If you have any questions about your information or wish to exercise your rights, please contact me at clare@attheconfluence.co.uk.

You also have the right to raise a concern with the Information Commissioner's Office (ICO) at www.ico.org.uk.

Changes to This Notice

I may update this notice if my professional arrangements or data protection requirements change. The latest version will be available on my website.
